🤖 Extracted Parties (Party Forms)

Extracted Parties is where Magic AI automatically identifies and extracts party information from your uploaded documents. This feature - formerly known as Party Forms - dramatically reduces the manual effort of finding and entering party data.

What Are Extracted Parties?

Overview

When you upload documents to an Object Company (such as structure charts, articles of association, shareholder registers, or identification documents), Magic AI automatically scans these documents and extracts information about individuals and companies mentioned within them.

These AI-identified parties appear in the Extracted Parties list, where you can review, validate, and accept them to become formal Parties in the system.

Accessing Extracted Parties

Navigation Path

  1. Navigate to Clients > Object Companies

  2. Select the Object Company you want to work with

  3. Click on the Extracted Parties tab

The tab label shows the count of extracted parties awaiting review (e.g., "Extracted Parties (15)").

Understanding the Extracted Parties List

Table Columns

  • Type: Individual or Company (with coloured badges)

  • Name: Party name as extracted by AI

  • DOB: Date of Birth (for individuals)

  • Nationality: Country of citizenship or registration

  • Country: Related country information

  • Priority: Primary or Secondary classification

    • Primary: Parties identified from structure charts (highest confidence)

    • Secondary: Parties identified from other documents (may need closer review)

  • Status: Current review status (Open, Accepted, Rejected)

List Features

  • Search bar: Find specific parties by name

  • Filters button: Refine by type, priority, status, or other criteria

  • Sortable columns: Click column headers to sort

  • Demo notification: Banner indicating AI extraction features

Reviewing Extracted Parties

Opening the Review Interface

Click on any party in the list to open the review modal. This opens a split-screen interface designed for efficient validation.

Left Panel: Party Information Form

This is where you review and edit the extracted information:

Basic Information Section (Collapsible)

  • Type: Individual or Company

  • Country of Residence: Primary country (required)

  • External ID: Reference identifier (optional)

  • Priority: Primary or Secondary classification

Personal Information Section (For Individuals - Collapsible)

  • First Name, Last Name (required)

  • Date of Birth, Nationality (required)

  • Gender

  • Place of Birth, Country of Birth

  • Passport Number, Country of Passport

Company Information Section (For Companies - Collapsible)

  • Company Name (required)

  • Registration Number

  • Legal Form

  • Place of Incorporation, Country of Incorporation

  • Date of Incorporation

Primary Address Section (Optional - Collapsible)

  • Street Name, Street Number

  • Zip Code, City

  • County/State, Country

Secondary Address Section (Optional - Collapsible)

  • Same fields as Primary Address

Right Panel: Source Document Viewer

This is your audit trail - showing exactly where the AI found each piece of information.

Select Source Dropdown

  • Lists all documents that contain information about this party

  • Shows document name and file size

  • Switch between sources to see different documents

  • Example: "Company Articles of Association (2.3 MB, 15 pages)"

Document Viewer

  • Displays the source document with AI findings highlighted in yellow

  • The yellow highlighting shows exactly where the AI extracted the information

  • Page navigation: "Page 1 of 15" with arrows to move through document

  • Zoom controls: Adjust viewing size (100% shown)

  • Full-page view of the document

Viewer Actions

  • Download button: Save the source document

  • Translate button: Translate document content to understand foreign language documents

How the Highlighting Works

The yellow highlighting in the document viewer corresponds to the fields on the left. When the AI extracts information like:

  • A name from a structure chart

  • A date of birth from an ID document

  • A registration number from articles of association

...it highlights that exact text in yellow so you can verify:

  • ✅ The information is correct

  • ✅ The information is valid

  • ✅ The information is up-to-date

  • ✅ The AI interpreted it correctly

This eliminates the need to manually search through documents to find and verify party information.

Validation Workflow

Review and Edit

  1. Check the left panel: Review all extracted fields

  2. Verify against the right panel: Look at the highlighted sections in the source document

  3. Switch sources if needed: Use "Select Source" dropdown to check multiple documents

  4. Edit if necessary: Correct any fields that need adjustment before accepting

  5. Translate if needed: Use translate button for foreign language documents

Decision Actions

Accept (Green button with checkmark)

  • Click "Accept" when all information is correct and verified

  • The party is added to the system as a formal Party

  • Can then be associated with Object Companies

  • Party information becomes available throughout the platform

Reject (Red button with X)

  • Click "Reject" if the extracted information is incorrect or not a relevant party

  • Party is marked as rejected and removed from pending review

  • Does not create a formal Party in the system

  • Can provide rejection reasons if needed

Cancel (Gray button)

  • Exit the review without making a decision

  • Extracted party remains in "Open" status

  • Can return to review later

Delete (Red trash icon at bottom left)

  • Permanently remove the extracted party record

  • Use when the extraction is clearly erroneous

  • Cannot be undone
