Parties represent all individuals and entities that have relationships with your Object Companies. This includes directors, shareholders, beneficial owners, authorised signatories, and other stakeholders who play formal roles in your client entities.

Understanding Parties

What is a Party?

A Party is any individual or legal entity that has a formal relationship with an Object Company, such as:

Individuals

  • Directors and board members

  • Shareholders and beneficial owners

  • Authorized signatories

  • Key management personnel

  • Politically Exposed Persons (PEPs)

Companies

  • Parent companies and holding entities

  • Subsidiary companies

  • Joint venture partners

  • Service providers with formal relationships

Key Characteristics

  • Formal relationships with Object Companies

  • Defined roles (Director, Shareholder, etc.)

  • Compliance significance for KYC and due diligence

  • Regulatory importance for beneficial ownership tracking

Main Features

  • Search bar: Find parties by name

  • Filters button: Refine party list by various criteria

  • Create Party button: Add new parties to the system (top right)

  • Comprehensive party table: View all parties with key details

  • Pagination controls: Navigate through multiple pages with rows per page selector

Party Information Displayed

  • Name: Party identifier

  • External ID: Reference number displayed below party name (when available)

  • Type: Individual or Company classification (with colored badges - blue for Individual, yellow for Company)

  • Country of Residence: Geographic location

  • Source: How the party was added (Manual, Imported, etc.)

  • Pagination: Shows result count and page controls

Creating a New Party

Step-by-Step Process

  1. Access Creation Form

    • Click "+ Create Party" button in the top right

    • The creation modal opens

  2. Complete Basic Information

    • Type: Select Individual or Company

    • Country of Residence: Choose primary country (required)

    • External ID: Add external reference if needed (optional)

    • Politically Exposed: Indicate PEP status

  3. Enter Type-Specific Information
    ​For Individuals - Personal Information (Required: 4/4)

    • First Name: Enter first name (required)

    • Last Name: Enter last name (required)

    • Nationality: Select nationality (required)

    • Date of Birth: Enter birth date (required)

    • Gender: Select gender

    • Place of Birth: Enter birth location

    • Country of Birth: Select birth country

    • Passport Number: Enter passport number

    • Country of Passport: Select passport issuing country


    ​For Companies - Company Information (Required: 1/1)

    • Company Name: Enter full legal company name (required)

    • Registration Number: Enter official registration number

    • Legal Form: Select legal structure

    • Place of Incorporation: Enter incorporation location

    • Country of Incorporation: Select incorporation jurisdiction

    • Date of Incorporation: Set incorporation date

  4. Add Address Details (Optional - Collapsible Sections)

    • Primary Address: Complete address fields

    • Secondary Address: Add alternative address if needed

  5. Save the Party

    • Click "Save Changes" to create the party

    • Click "Cancel" to discard

Field Guidance

  • Type selection: Determines which information fields are displayed

  • Country of Residence: Primary operational or residence country

  • Politically Exposed: Important for compliance and risk assessment

  • Required field indicators: Form shows count of required fields (e.g., "Required: 4/4")

Note: User permissions may affect your ability to create new parties. Contact your administrator if this option is unavailable.

Party Detail View Layout

The detail view uses a clean card-based layout that varies depending on whether the party is an Individual or a Company.

For Individual Parties

Top Section - Three Information Cards

Party Information (Left Card)

  • Name: Full party name

  • External ID: Reference identifier (when applicable)

  • Type: Individual badge

  • Source: How the party was created (Manual, Imported, etc.)

Identity Information (Center Card)

  • Full Name: Complete legal name

  • Nationality: Country of citizenship

  • Gender: Gender identification

  • Date of Birth: Birth date

  • Place of Birth: Birth location

  • Country of Birth: Birth country

  • Passport Number: Identification number

  • Country of Passport: Passport issuing country

Audit Information (Right Card)

  • Created: Initial creation timestamp

  • Created By: User who created the party (with avatar)

  • Last Updated: Most recent modification date

  • Last Updated By: User who made last changes (with avatar)


For Company Parties

Top Section - Three Information Cards

Party Information (Left Card)

  • Name: Company name

  • External ID: Reference identifier (when applicable)

  • Type: Company badge

  • Source: How the party was created (Manual, Imported, etc.)

Company Information (Center Card)

  • Registration Number: Official company registration

  • Country of Residence: Operational jurisdiction

  • Legal Form: Company structure type

  • Place of Incorporation: Where company was formed

  • Country of Incorporation: Incorporation jurisdiction

  • Date of Incorporation: When company was established

Audit Information (Right Card)

  • Same structure as Individual parties


Address Section (Both Individual and Company)

Primary Address

  • Street Name, Street Number, Postal Code, City

  • State/Province and Country details

Secondary Address

  • Alternative address information (when applicable)

  • Same field structure as primary address

Editing Party Information

Modification Process

  1. Access Edit Mode

    • From party detail view, click "Edit Party" button

    • Edit modal opens with current information pre-filled

  2. Update Information Sections

    • Basic Information (Required: 1/1): Modify type, country of residence, external ID, PEP status

    • Personal Information (for Individuals, Required: 4/4): Update names, nationality, date of birth, gender, birth details, passport information

    • Company Information (for Companies, Required: 1/1): Update company name, registration details, legal form, incorporation information

    • Primary Address (Optional - Collapsible): Edit address fields

    • Secondary Address (Optional - Collapsible): Update alternative address

  3. Save or Delete

    • Save Changes: Preserve all modifications

    • Cancel: Discard changes

    • Delete: Remove party entirely (red button at bottom left)

Field Requirements

The edit form indicates required fields with counters:

  • Basic Information: "Required: 1/1" indicator

  • Personal/Company Information: Shows required field count based on party type

  • All required fields are marked with asterisks (*)

Important Considerations

  • Deleting parties: May affect associated Object Company relationships

  • Required field validation: System ensures all mandatory information is provided

  • Audit trail: All changes are tracked in the system

Note: Delete functionality may be restricted based on user permissions and whether the party has active Object Company relationships.

Navigation and Tabs

Main Tabs Available

Custom Metadata

  • Define organization-specific fields for parties

  • Organize information in collapsible sections (e.g., A. Ambassador, B. UBO, C. Additional)

  • Capture custom data relevant to your compliance needs

  • Edit custom metadata using "Edit Custom Metadata" button

Associated Object Companies

  • View all Object Companies where this party has a relationship

  • Search and filter through company relationships

  • See relationship notes and when each was added

  • Use "Manage Object Companies" button to add or remove associations

  • Click on company names to view full Object Company details

Audit Log

  • Complete audit trail of all party-related changes

  • Event descriptions with timestamps

  • User tracking for accountability ("Changed By" column with avatars)

  • Chronological record of all modifications

  • Pagination for extensive histories

Search and Filtering

Search Functionality

  • Search by name: Find parties using full or partial names

  • Real-time results: Updates as you type

  • Global search: Searches across all party records in the system

Filtering Capabilities

  • Filters button: Opens advanced filtering options

  • Type filtering: Separate individuals from companies

  • Country filtering: Filter by country of residence

  • Source filtering: Filter by how parties were added (Manual, Imported, etc.)

Note: User permissions may affect your ability to create, edit, or delete party information. Contact your administrator if expected functionality is unavailable.

Related Navigation

From the Parties module, you can access:

  • Object Companies: View the client entities that parties are related to (via Associated Object Companies tab)

  • Accounts: See the broader account context for party relationships

  • Custom Metadata: Define and manage party-specific fields

  • Audit Log: Track all changes and modifications to party records
