Accounts serve as organisational containers that group related Object Companies together. Think of an Account as a portfolio, investment fund, or business group that encompasses multiple client entities under one umbrella.

Understanding Accounts

What is an Account?

An Account represents a higher-level grouping of your clients. Examples include:

  • Investment funds containing multiple Special Purpose Vehicles (SPVs)

  • Business groups with multiple subsidiary companies

  • Family offices managing various family entities

  • Corporate structures with multiple operating companies

Account vs Object Company

  • Account: The container or group (e.g., "Beta Capital BV")

  • Object Company: Individual client entities within that group (e.g., "Alpha BV SPV 1", "Alpha Finance Solutions LLC")

Accounts Overview Interface

Main Features

  1. Search bar: Find accounts by name using the search field

  2. Create Account button: Create new account containers (top right)

  3. Account list: View all accounts with key information

  4. Pagination controls: Navigate through multiple pages of accounts

Account Information Displayed

  • Name: Account identifier

  • External ID: Reference number displayed below account name (when available)

  • Associated Object Companies: Number of client entities within this account

  • Last Updated By: User who made the most recent change with user avatar

  • Last Updated: Timestamp of most recent modification

  • Pagination: "Showing 1 to 4 of 4 results" with page controls and rows per page selector

Creating a New Account

Step-by-Step Process

  1. Access Creation Form

    • Click the "+ New Account" button in the top right

    • The "Create Account" modal will open

  2. Complete Required Fields

    • Name: Enter the account name (required field marked with *)

    • External ID: Add external identifier if needed (optional)

    • Description: Provide account description (optional)

  3. Save the Account

    • Click "Create Account" to save

    • Click "Cancel" to discard changes

Field Guidance

  • Name: Use clear, identifiable names that reflect the business relationship

  • External ID: Include if you have reference numbers from other systems

  • Description: Add context about the account's purpose or scope

Note: User permissions may restrict your ability to create new accounts. Contact your administrator if this option is unavailable.

Managing Existing Accounts

Viewing Account Details

Click on any account name to access the detailed view, which shows:

Account Information Section

  • Core account details including name, external ID, and description

  • Displayed in a clean card format

Audit Information Section

  • Creation details with timestamp and user

  • Last update information with timestamp and user

Navigation Tabs

  • Associated Object Companies: List of all client entities within this account

  • Client Acceptance Forms: Related compliance forms

  • Audit Log: Complete activity history

Account Information Layout

Core Information

  • Name: Primary account identifier

  • External ID: Reference number if applicable

  • Description: Account purpose or notes

Audit Information

  • Created: Initial account creation date and time

  • Created By: User who created the account (with avatar)

  • Last Updated: Most recent modification timestamp

  • Last Updated By: User who made the last change (with avatar)

Editing Account Details

Modification Process

  1. Access Edit Mode

    • From the account detail view, click "Edit Account"

    • The edit modal opens with current information pre-filled

  2. Update Information

    • Modify any field as needed

    • All creation fields are available for editing

  3. Save or Delete

    • Save Changes: Preserves modifications

    • Cancel: Discards any changes

    • Delete: Removes the account entirely (red button at bottom left)

Important Considerations

  • Deleting accounts: This action may affect associated Object Companies

  • Audit trail: All changes are tracked in the system

Note: Delete functionality may be restricted based on user permissions and whether the account contains Object Companies.

Working with Object Companies

The Associated Object Companies tab shows all client entities linked to this account. Use the search bar and filters to find specific companies, and the "Manage Object Companies" button to add or remove associations.

Click on any company name to view its full details.

Note: Object Companies must be created in the Object Companies module before they can be associated with accounts.

Search and Filtering

Search Functionality

  • Use the search bar to find accounts by name

  • Search is case-insensitive and matches partial names

  • Results update in real-time as you type

  • Pagination controls allow navigation through multiple pages of results
